Communicating With Participants

The best method for communicating with participants is by email. Don't use your personal email accounts or phone number for recruiting. We have email accounts set up for the lab and for individual projects on a platform called Netfirms. Here we can create email addresses for specific studies and researchers can monitor them.

To log onto netfirms, go to: https://www2.netfirms.com/

Login (top right corner) with :

username: ncilab.ca

pw: pw-4-NCIL

Select ncilab.ca from the Domain names

From the Summary page, scroll down to Email Accounts, Select Manage, that takes you to Email Management where you can + add email account. Select Mailbox and enter your mailbox name and pw info.

You wil l have to choose an mailbox name but it will always end in @ncilabca. (e.g. ####_Study@ncilabca). You will also have to choose a password. Be sure to keep a record of the mailbox name and pw in your study information, where it can be found by researchers who might work on the same project after your departure from the lab.

To check email inboxes: Login to net firms and go to Email Accounts, scroll down to find your email account and select "Launch Webmail".

Sometimes you may need to forward emails to another email address that you use on a daily basis. To do this select Manage on top right corner of EMAIL Accounts box. Email Management is open. Select + Add Email. "Create new Email Address" box opens. Select Forward rather than Mailbox. Note: Forwarding Address is your email address on netfirms.

Send yourself a test email to confirm forwarding works.
